Collect supplier evidence without chasing. Check it. Keep every supplier compliant.

Supplier Passport runs on a buying organisation’s own server. Suppliers send their insurance, accreditations and policies once, through a secure link or their own account; the app checks them against your requirements and official sources, and your team decides.

Who it is for

Buying organisations that need the right documents from suppliers before engaging them, and the suppliers they invite.

The problem

The same certificates are emailed again and again, and nobody notices when one expires.

The outcome

For every supplier, what you require and why, what is missing or expiring, what was checked and by whom, and an evidence pack ready for an audit.

What it is being built to do
  • Suppliers send evidence through a secure, expiring link, without an account, or keep one passport and choose what each buyer sees
  • Ready-made requirement sets for cleaning, FM and HVAC, construction, IT, staffing and care, social housing contractors and third parties of FCA-regulated firms; each item marked as the law, official guidance or your own policy, with its official source
  • Questionnaires with conditional questions, and bulk import from CSV or Excel
  • Insurance certificates read for your reviewer to confirm, with a flag when the cover is below what you require
  • Checks run from your server against Companies House and the UK Sanctions List, recorded with the date and source; a named person still decides
  • Risk ratings from your own rules, with the reasons shown, and more frequent re-checks for higher risk
  • A dashboard of who is fully compliant, what is expiring and what needs a decision
  • An evidence pack (PDF and ZIP) for audits, fraud prevention reviews and public-sector bids
  • Email through your own mail system (SMTP or Microsoft 365), or in the app only

Your data

Your data stays on your server. DTD never receives it. The only thing your installation sends DTD is a check for updates, which carries its version number. Checks go from your server straight to the official sources (Companies House with your own key, and the UK Sanctions List download), and email goes through your own mail system.

“Reviewed” means a defined review was completed. It does not mean a supplier is certified or independently verified in every respect, and there is no public supplier directory. Automatic checks are recorded as “checked automatically against the source on a date”, and a person on your team still makes the decision. Rules are shown with their official source; this is not legal advice.

Why it costs less

It runs on your server

Your data stays in your organisation, so our price carries no hosting bill of ours.

Questions

Straight answers.

Is it available now?

Not yet: Supplier Passport is being prepared for release. Request early access and we will arrange a test installation or a demo.

Where does it run, and where is our data?

On your own Windows or Linux server, or a Docker host. Your data stays there and DTD never receives it; the installation only checks DTD for updates, sending its version number.

How are updates handled?

A DTD licence key includes updates. The installation fetches signed updates and applies them overnight, keeping the previous version to fall back to.

What does it cost?

Team £49 a month (unlimited suppliers) or Business £129 a month (for larger organisations), per organisation, after a 30-day free trial. Or pay yearly and get two months free. All five self-hosted apps together (the DTD Suite) are Suite Team £199 a month (all five apps, Team plans), per organisation.

Does it check suppliers automatically?

Partly. From your server it checks Companies House (with your own free key) and screens names against the UK Sanctions List, which it downloads and keeps up to date. Each result is recorded with its date and source and counts only once a person on your team accepts it. Name screening compares names, not people, so a reviewer clears possible matches. Cyber Essentials, Gas Safe, CQC and the trade schemes are checked by a person on the official site and recorded. Local AI is optional: it only suggests certificate details, and everything works without it.

Does “Reviewed” mean a supplier is certified?

No. It means your team completed the review you defined. It is not a certification or an independent verification.
